Will MapleDentists work with my existing PMS (Tracker, Dentrix, AbelDent)?
Yes. MapleDentists is PMS-agnostic and ships with two-way connectors for Tracker (CDA), Dentrix Canada, AbelDent, ClearDent, Power Practice and Maximus. We pull appointments, treatment plans and patient demographics, and write back booking confirmations, recall flags and call notes. If you run something custom, our HL7 / FHIR bridge covers it.
Is MapleDentists PIPEDA-compliant for patient health information?
Every byte stays on Canadian-hosted infrastructure inside a SOC 2 Type II data centre in Moncton, NB. Patient health information (PHI) is encrypted at rest with AES-256 and in transit with TLS 1.3. We sign a written Privacy Officer agreement with your practice and align with PIPEDA plus the relevant provincial health privacy acts (PHIPA in Ontario, HIA in Alberta, Quebec Law 25, etc.).
How does the AI handle insurance verification and pre-authorization?
MapleDentists reads patient insurance details from your PMS, formats a real-time EDI pre-auth packet, and submits to ITRANS/CDAnet on your behalf. For more complex procedures (crowns, ortho, implants) it generates the supporting narrative and assembles the radiograph attachments, then drops the response into the patient chart with the estimated coverage breakdown.
Can it follow up on no-shows and recalls automatically?
Yes. The AI runs a configurable cascade — SMS at +24h, voice callback at +48h, email at day 5, and a final outbound AI call on day 10 — until it either rebooks the patient or marks them as inactive. Hygiene recalls follow your provincial timing (6/9/12 months) and respect each patient's preferred channel and language.
Does it support French/English bilingual practices (Quebec, NB, Ontario)?
Both official languages are fully supported, including the AI voice receptionist. Patients can switch language mid-call. Quebec practices get Law 25 compliance defaults, French-first patient communications, and CNESST-aligned consent language.
How long does setup take and is there a contract?
Most practices are live in 4-6 business days: day 1 PMS connector + number porting, day 2 voice training on your practice name & dentist roster, day 3-4 insurance carrier handshake, day 5 staff training, day 6 go-live. No multi-year contract — month-to-month or annual prepay for a 17% discount.
What does the AI do when a patient calls with a clinical emergency?
Emergencies are routed to a human-in-the-loop within 30 seconds. The AI runs a triage script (pain level, swelling, trauma, bleeding) modelled on CDA emergency dental guidance, and either books the same-day slot, escalates to the on-call dentist via SMS, or directs the patient to the nearest ER if it detects red-flag symptoms.
Can each chair / hygienist have its own schedule and reminder rules?
Yes. Pricing is per chair per month, and every chair has independent column rules — chair preferences, block scheduling, lunch breaks, hygiene vs. operative columns. Reminder cadence, language and time-of-day quiet hours are configurable per chair, per provider, and per patient.
