Frequently asked questions

What is MapleWorkSuite?
MapleWorkSuite is a Canadian-hosted productivity suite for small and mid-sized businesses. It bundles 28+ apps — email, voice, invoicing, scheduling, CRM, document signing, AI agents and more — behind one login, one bill, and one Canadian privacy posture.
Do I have to use every app?
No. Each app stands on its own and most are available à-la-carte. The suite tiers simply unlock more apps at a lower combined per-seat cost. Turn things on as you need them.
Where is my data stored?
On Canadian-hosted infrastructure. We do not replicate customer data outside Canada. This keeps you aligned with PIPEDA and avoids cross-border disclosure risk that comes with US-based providers.
How much does MapleWorkSuite cost?
Free tier forever (MapleContacts + MapleDrive). Paid suite tiers start at $19 CAD per user per month for Starter, $39 for Pro, $79 for Business. Per-app standalone pricing is available on each product page. All amounts in CAD.
Can I migrate from Google Workspace or Microsoft 365?
Yes. MapleMail supports IMAP migration from Gmail and Microsoft 365 mailboxes. MapleContacts imports from vCard, CSV, Google Contacts, and Outlook. MapleCalendar imports from .ics. We'll walk you through it during onboarding.
Is there a free tier?
Yes — MapleContacts (full CRM) and MapleDrive (gig-driver mileage logbook) are both free for everyone, no credit card required. Free is permanent, not a trial.
Who's behind MapleWorkSuite?
Joel Gathercole, a Canadian software engineer with 36 years of programming and 20+ years running SMB IT consulting. Headquartered in Moncton, New Brunswick. The suite operates under Joel & Nanz Inc.
How is this different from buying each app separately?
The suite gives you (1) cheaper per-app pricing when bundled, (2) one contact list and one calendar shared across every app, (3) cross-app workflows (e.g. signed lease in MapleSecure auto-creates the invoice in MapleInvoice), and (4) one bill in CAD instead of five.
How does the AI work, and what does it cost?
AI runs across the whole suite — answering calls and chats, drafting and chasing invoices, summarizing documents and triaging tickets — using your shared business data. AI actions are metered with Maple AI tokens, so you only pay for the AI you actually use.
Can I get help setting it up?
Yes. Book a free discovery call and we will walk through your needs and help you get started. For specific questions, send our support team a message on the contact page and a real Canadian person will get back to you.
What do I get with the free Maple account?
A free Maple account gives you MapleContacts (a full CRM and shared contact list) and MapleDrive (a mileage and gig-driver logbook) at no cost, with no credit card and no time limit. It is the same account you later use to switch on any paid app, so nothing has to be re-created when you upgrade.
How do add-ons work?
Every paid app is an add-on you switch on from your account. Turning one on activates it instantly against your existing login, contacts and calendar — there is no separate signup or data migration. You can turn add-ons off again from the same screen, and your bill adjusts to match what is active.
How does billing work?
You get one monthly invoice in Canadian dollars that covers every app and seat you have switched on, plus any Maple AI tokens you used. Subscriptions are month-to-month with no lock-in, billing is per user per month, and AI usage is metered separately so you only pay for the AI you actually consume.
What is a Maple AI token and how is AI metered?
Maple AI tokens are the unit we use to meter AI work — answering a call, drafting an invoice, summarizing a document or triaging a ticket. Paid tiers include a monthly token allotment, and if you go beyond it you simply top up. AI features that do not consume tokens, like turning an app on, are never metered.
Which products are in MapleWorkSuite?
The suite spans 28+ apps including MapleMail (email), MapleReceptionist (AI phone agent), MapleConcierge (property management), MapleInvoice (invoicing), MapleExpense (expenses), MapleSecure (document signing), MapleContacts (CRM), MapleCalendar (scheduling), MapleSIEM (security monitoring) and more. Each has its own product page with pricing and an FAQ.
What does MapleMail do?
MapleMail is Canadian-hosted business email with your own domain, IMAP migration from Gmail or Microsoft 365, and AI-assisted drafting and triage. It shares the same contacts and calendar as the rest of the suite, so an email thread can flow straight into a ticket, invoice or task.
What does MapleReceptionist do?
MapleReceptionist is an AI phone and chat agent that answers your business line, books appointments, takes messages and routes urgent calls — using your real business data so callers get accurate answers. High-stakes actions stay under your review rather than being sent automatically.
What does MapleInvoice do?
MapleInvoice creates, sends and chases invoices in CAD, tracks who has paid, and can draft polite follow-ups for overdue accounts with AI. Because it shares data with the rest of the suite, a signed agreement in MapleSecure can automatically create the matching invoice.
What does MapleConcierge do?
MapleConcierge is the property-management app: tenants, leases, rent collection, maintenance requests and owner reporting, built with Canadian rules in mind (T776, T5018, bilingual communication and provincial trust handling). It plugs into the same contacts, calendar and invoicing as the rest of the suite.
Is my data covered by PIPEDA?
Yes. Your business data is hosted on Canadian infrastructure and is not replicated outside Canada, which keeps you aligned with PIPEDA (Canada's federal privacy law) and avoids the cross-border disclosure risk of US-headquartered providers. We act as your data processor, you remain the data owner, and our Privacy Statement sets out exactly how information is handled.
How is MapleWorkSuite secured?
The platform is built with security first: encrypted connections, role-based access, audited infrastructure and a separate security-monitoring app (MapleSIEM) for businesses with compliance needs. We design with SOC 2 and HIPAA-style controls in mind, and high-risk actions taken by AI stay under human review.
What does onboarding look like?
You can self-serve in minutes — create your free account and switch on what you need — or book a free discovery call and we will help you import data, configure apps and migrate email. Most small businesses are up and running the same week, and we stay available through support afterward.
How do I get support?
Reach a real Canadian person through the contact page form, which opens a ticket with our support desk, or book a discovery or help call for anything that is easier to talk through. The help centre and each product FAQ also answer the most common questions instantly.
How do I cancel, and can I export my data?
You can cancel any time — subscriptions are month-to-month with no lock-in — and you keep access through the end of the period you have paid for. Your data is yours: you can export contacts, documents, invoices and email in standard formats (CSV, vCard, .ics, PDF) before or after you cancel, so you are never trapped.
Is MapleWorkSuite really Canadian-built?
Yes. MapleWorkSuite is designed, owned and operated by Joel & Nanz Inc. in New Brunswick, Canada, hosted on Canadian infrastructure, billed in CAD and supported by Canadians. Being Canadian-built is not a label — it determines where your data lives, who you reach for help, and how privacy is handled.
